Project Management Pro Trakker is a cost effective, Lotus Domino based project management system, which tracks projects through the proposal, PO, and invoicing stages. Employee time entries, expense reports, product sales, and services are also tracked against PO and are the source for automatic invoice creation. Real time status reports are created and project managers are notified of the status of each project's status. Proposal/Specification - Tracks design specification and scope of project. Includes consulting hours and rates, product sales, expenses, and services such as Web hosting, service agreements, etc.) Purchase Order - When proposal is approved and customer submits the PO all spec/proposal data is captured into a PO document. The user enters the data from the customer PO such as PO number, PO amount, date, and terms of the PO. Time tracking - Time is entered by billable employees either through a Notes client or We b client and is tracked against the PO information. When time entries are submitted, project information is updated with statistics on hours billed, dollars billed, actual hours and dollars versus budget. The Project Manager is emailed at critical points during the project with project details. Views of time entries are available sorted and categorized by employee, by project and by date. Product Sales - If the project contains the sale of product, a product voucher is created via a Notes or Web client and is tracked with the PO. When product sales are vouchered, project information is updated with statistics on product sold, actual product sold versus budget. The Project Manager is emailed at critical points during the project with the project details. Expense Reporting - If the project entails charging expenses incurred to the customer an expense report can be created via a Notes or Web client and is tracked with the PO. When expense reports are submitted, project information is updated with statistics on expenses charged t o the project. Invoices - Invoices are created automatically and are initiated from the project or can be run on a scheduled basis. When an invoice is created, the user can select which items get invoiced (billable time, product, services, and expenses). For time invoicing the user can select a dat e range of time entries to place in the invoice. All customer information is automatically inherited from the PO document. The invoice can now be faxed though the Fax gateway, emailed to the customer, or printed and mailed. The Project Manager is notified via email when invoices are past due. Invoices are marked paid when checks are received. Integration to the General Ledger - All appropriate accounting information residing in ProTrakker can be integrated seamlessly to the General Ledger. |
